Studio Operations Manager

Bailey Hikawa Studio

We’re looking for a Studio Operations Manager to fully own the day-to-day operations of our studio. This role replaces the founder in operational decision-making and ensures the studio runs smoothly, efficiently, and accurately without constant oversight.

This is not an assistant role. This is a hands-on leadership role for someone who loves and has experience implementing workflows, structure, and making things work better over time.

We’re focused on growing thoughtfully—using efficient systems, clear processes, and a strong foundation, all while keeping the work human, fun, and customer focused.

Responsibilities

Studio Operations & Inventory

  • Track and manage inventory across all products and materials

  • Monitor material levels (including silicone and handmade case supplies)

  • Order materials, packaging, shipping supplies, and studio equipment

  • Maintain organized, labeled inventory systems

  • Ensure all handmade products leave the studio in perfect condition

  • Implement efficiency systems across studio

Scheduling & Team Management

  • Set schedules and work hours for studio assistants

  • Train and onboard assistants

  • Enforce safety protocols and studio standards

  • Act as the point person for day-to-day studio operations

  • E-Commerce Operations & Accuracy

  • Ensure online inventory reflects real studio stock at all times

  • Design efficient workflows for shipping of DTC operations

  • Maintain accurate availability of products

  • Coordinate between production capacity and website listings

  • Update operational product information based on founder direction

  • Ensure returns, restocks, and exchanges are correctly reflected online

  • This role partners closely with the founder to keep the digital storefront aligned with real-world operations.

Systems & Workflow

  • Own and maintain operational spreadsheets and dashboards

  • Design, document, and improve workflows for efficiency

  • Create and update SOPs for production, safety, and quality control

  • Identify problems early and fix them without being asked

Customer Support & Returns

  • Design efficient and smooth customer experiences

  • Customize and manage return workflows and software

  • Manage the customer email inbox

  • Update and maintain customer interactions

  • Handle returns, exchanges, and address changes

Website & Operations Accuracy

  • Maintain accurate timelines and availability for handmade products

  • Update operational product information (based on founder direction)

  • Work with founder ensure website functionality aligns with inventory

Studio Finance

  • Run weekly payroll

  • Pay studio credit cards

  • Flag inventory or capacity risks before they become issues

What You Won’t Be Doing

  • Waiting for instructions

  • Asking for permission to fix obvious problems

  • Doing creative direction or brand decisions

  • Acting as a personal assistant to the founder

What Success Looks Like

  • The studio runs smoothly without founder involvement

  • Inventory, schedules, and workflows are always up to date

  • Problems are solved before they become emergencies

  • Systems improve continuously over time

  • Onboarding more studio assistants and enjoying expanding the business with care, joy and efficiency

Requirements

3+ years in operations, studio management, production, or inventory tracking with an e-commerce business

  • Experience with inventory tracking and spreadsheets

  • Comfort managing people and enforcing workflows

  • Strong problem-solving skills

  • Strong communication skills

  • Experience in a creative studio, art business, or product-based brand is a big plus!!
