The Senior Project Manager oversees complex, high-value logistics projects involving the transportation, installation, and storage of fine art and cultural property. This role requires direct coordination with clients, vendors, and internal teams to ensure all aspects of a project—from condition reporting to crating, customs clearance, and delivery are executed with precision and care. The Senior Project Manager is responsible for budgeting, scheduling, and maintaining compliance with museum-quality standards and international regulations. Strong communication and problem-solving skills are essential, as is the ability to manage multiple projects simultaneously under tight deadlines. This role also involves mentoring junior staff and contributing to strategic planning and client development. The ideal candidate brings deep industry knowledge, exceptional attention to detail, and a commitment to safeguarding valuable and irreplaceable artworks.
Oversee end-to-end planning and execution of domestic and international fine art shipping projects, including transportation, packing, crating, installation, and storage
Serve as primary point of contact for high-profile clients, providing regular updates and ensuring service expectations are met or exceeded
Develop detailed project budgets, timelines, and work orders; monitor progress and manage deviations proactively
Coordinate with internal departments (warehouse, transportation, registration, sales) and external partners (customs brokers, agents, vendors) to ensure seamless operations
Ensure compliance with museum standards, handling protocols, and applicable import/export and insurance regulations
Conduct site visits and pre-project assessments to evaluate logistical needs and risks
Resolve project-related issues in real time, maintaining clear communication with clients and stakeholders
Train and mentor junior project managers and coordinators; contribute to SOP improvements and operational best practices
Assist with new business development by supporting proposals, attending client meetings, and identifying opportunities for growth and retention
Minimum 5 years of experience in a comparable project management role within the fine art shipping, museum, or cultural logistics industry
Proven ability to manage complex domestic and international art handling projects from inception to completion
Deep understanding of fine art packing, crating, transportation, installation, and storage standards
Familiarity with international customs procedures, ATA Carnets, and fine art insurance protocols
Exceptional organizational and multitasking skills with a keen attention to detail
Strong client service orientation with excellent written and verbal communication skills
Proficiency in project management software, database systems, and standard office applications (e.g., Excel, Outlook, Adobe)
Ability to work under pressure and manage shifting priorities in a deadline-driven environment
Leadership experience, including mentoring or managing junior staff, preferred
Bachelor’s degree in art, art history, logistics, museum studies, or a related field preferred (or equivalent professional experience)
