Salary range: 65-75k commensurate with experience. This is a full-time, salaried position classified as exempt under the Fair Labor Standards Act (FLSA). Standard work hours are Monday through Friday, 10 AM to 6 PM, with the flexibility to assist with after-hours gallery events and support art fair logistics during occasional weekends. Full time permanent package includes: Medical, dental and vision benefits, 401K, paid vacation and holidays.
Artwork Database Management:
Maintain Artlogic database:
Create all artwork records
Maintain artwork locations, condition reports, artwork production expenses, registration paperwork (incoming/outgoing)
Train staff on database best practices
Create all sold artwork invoices; create COAs upon request
Create loan, consignment, on-approval paperwork, maintain consignment calendar
Conduct quarterly inventory check with Directors
Manage artwork records in client management software
Organize and maintain all images and files in cloud storage system
Shipping:
Arrange for the safe transportation of artworks to and from the gallery, storage facility, art fairs, clients, and loan destinations
Provide client quotes and manage all shipments from start to finish
Maintain shared shipping document with staff
Scan and file all BOLs and client signed invoices
Conduct and file condition reports on all incoming and outgoing artwork
Knowledge of state sales tax, import duty and VAT for international transport
Art handling assistance as needed
Vendor Management:
Maintain and develop a strong vendor network; ability to negotiate best pricing and ensure invoices are in line with estimates; facilitate smooth and timely deliveries
Manage and hire photographers
Direct all photo-shoots and ensure digital assets are provided in a timely manner
Process all incoming images, editing as needed
Organize files in the appropriate folders in a consistent format
Manage production needs for the gallery
Coordinate framing, pedestal fabrication, and exhibition production needs
Filing receipts, generating production agreements
Insurance
Provide COIs for art fairs
Annual insurance coverage update report
Building Maintenance
Nazarian / Curcio is seeking an experienced Registrar to join its Los Angeles team. The ideal candidate will have 2-3 years of experience in registration within a commercial art gallery, museum, or similar environment. They should possess a BA, MA, or MFA in art history, studio art, museum studies, or a related field. Proficiency in ArtLogic, Arternal, Google Docs/Sheets, Photoshop is preferred, alongside strong organizational skills, exceptional attention to detail, punctuality, and excellent communication and problem-solving abilities. The ability to thrive in a fast-paced, high-pressure environment while managing time effectively is essential.
Collaboration is key to our gallery’s success, and the ideal candidate will work well both independently and in close coordination with various departments. Reporting directly to the Directors, and Partners, the Registrar will play a crucial role in supporting our small team. A positive attitude and an enthusiastic approach to daily tasks are a must.
Must have valid Driver’s License and ability to travel to storage locations, artist studios, and vendors.
