David Kordansky Gallery seeks a highly motivated, extremely organized, personable, and collaborative individual to join our team as a Gallery Administrator. Reporting to the Gallery Manager, the Gallery Administrator is a critical, cross-departmental role, responsible for supporting a range of significant functions of the Management & Administration and Operations teams, including front desk coverage, hospitality, and visitor relations; administrative tasks and data entry; gallery and office tidiness; and coordination of supplies. This position is an hourly, full-time role, in-person five days per week, and requires flexibility for additional hours based on the needs of the Gallery. A generous benefits package is offered.

Responsibilities

PRIMARY RESPONSIBILITIES:

  • Greet gallery visitors at the front desk, answer gallery phones, and facilitate client visits with staff

  • Maintain a comprehensive understanding of the history of the gallery, its artists, and programming, and provide accurate information to gallery visitors

  • Research, prepare for, and lead group visits and exhibition tours

  • Monitor artwork and building safety and security

  • Carry out daily opening and/or closing procedures as a keyholder

  • Maintain general tidiness of the gallery, including basic cleaning

  • Send weekly report emails

  • Monitor office supply levels and track book inventory, restock as needed

  • Pack and ship catalogs, as needed

  • Research, arrange, and deliver gifts on behalf of gallery staff, as needed

  • Assist in maintaining contact database records with up-to-date client and artist information

  • Maintain a familiarity with the names and faces of clients, press, curators, and other regular gallery visitors

  • Manage event guest lists and monitor RSVPs

  • Assist the Sales Team in administrative tasks such as updating artwork inventory status, preparing images and captions, and compiling offer PDFs, as needed

  • Assist with the preparation for all gallery events, including staffing openings, dinners, and viewings, as needed

Requirements

QUALIFICATIONS:

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

  • Knowledge of and interest in contemporary art required

  • At least one (1) year of experience working in a public-facing, visitor relations position at a contemporary art gallery or contemporary art museum preferred, but consideration is given to candidates with related experience

  • Experience working in retail, service, and/or hospitality industry roles is welcomed

  • Bachelor’s degree preferred

  • Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)

  • Basic knowledge of databases such as ArtLogic, ArtBase / FileMaker, or similar welcomed

  • Basic knowledge of sales platforms such as Arternal, ArtBinder, Private Views, and Artsy welcomed

  • Fluency in multiple languages welcomed

  • Preference is given to candidates who have familiarity with global contemporary art, including art of the African Diaspora, Latin America, and Asia

  • This position may require extensive periods of sitting

  • Possession of a valid state driver’s license and access to a reliable means of transportation to facilitate local collections and deliveries preferred

COMPENSATION & BENEFITS:

  • This is a full-time hourly position (overtime eligible) at 40 hours per week.

  • The pay scale for this position is $20 – $25 per hour.
