Professional Fine Art Services is looking to hire a full time administrative assistant and logistic coordinator to join our team! This position will give you the opportunity to interact with highly reputable artists, gallerists and museum executives alike. This position will handle and document all incoming and outgoing artwork as well as assist management with day to day operations. This position is also responsible for managing and maintaining all inventory. The ideal candidate is a fast learner and self starter who is responsible and detail oriented. Minimum of 2-3 years office experience required and experience in the arts industry preferred.

Responsibilities

Duties and Responsibilities:

Receive, record and document all incoming and outgoing artwork through Wrklst software

Prepare release forms for incoming and outgoing artwork

Assist with client consultations, help with measuring works and recording notes

Photograph all inventory and perform condition reports

Provide an excellent customer service experience for all clients

Assist with managing and coordinating schedules for management and client appointments

Keep business files organized and up to date

Manage phone calls, emails and client questions

Provide administrative support including taking notes during meetings, managing files, preparing estimates and invoices

Purchase office supplies and other materials as needed

Requirements

Qualifications and Position Requirements:

Minimum of 2 years customer service and office experience required

Experience within the art industry a plus

Bilingual in English and Spanish a plus

Ability to adapt to a changing environment and handle multiple priorities.

Excellent communication, writing and analytical skills

Proficient in Apple software, Google Suites, Excel, Outlook, Icloud calendar, etc

Ability to commute/relocate to Monterey Park, CA: Reliably commute or planning to relocate before starting work (Required)
