Qualified candidates will demonstrate strengths in key position responsibilities including nonprofit administration, financial management, program planning and coordination, communications and public relations, and fundraising.

The Executive Director is expected to undertake the duties outlined in this position description in alignment with Gallery One’s Mission, Vision and Strategic Plan, including our cross-cutting

The Executive Director (ED) is responsible to the Board of Directors for providing the day-to-day operational & administrative management of Gallery One in keeping with the organization’s strategic plan & mission. The primary purpose of this position is to achieve the goals & objectives of Gallery One by providing, obtaining, &/or coordinating activities as they affect the Gallery.

ADMINISTRATIVE – Provides &/or coordinates:

A. Personnel Management:

  1. Recruit, select, train, motivate & evaluate staff & volunteers.

  2. Assign, schedule, & establish work priorities & deadlines.

  3. Coordinate the activities of Board, staff & volunteers.

B. Reports & Records

  1. Prepare and maintain records, databases, & files.

  2. Prepare all official correspondence.

  3. Assist staff & Membership Committee with mailings.

  4. Provide reports on operations, programs, exhibits & activities.

C. Oversee retail sales to achieve sales & profit goals.

D. Facilities

  1. Oversee tenants in Artist Studios & other facilities.

  2. Coordinate facilities maintenance with the Building Committee.

  3. Maintain inventory of supplies & equipment.

FINANCIAL – Assists in planning, developing & maintaining budgets & fiscal records:

A. Budget Development

  1. In conjunction w/ educational program director and retail store manager, prepare cost

estimates, budgets, & costs for Board approval.

  1. Assist the Finance Committee in preparing the annual budget.

  2. Solicit bids for purchase of goods & services.

B. Procedures

  1. Ensure transactions conform to Board policies.

  2. Monitor program activities to ensure compliance with budgets.

  3. Report on financial status to the Finance Committee.

PROGRAMS – Develops, & oversees all aspects of:

A. Exhibitions

  1. Develop, coordinate & direct exhibition activities & schedules that compliment the

strategic plan, mission, & appeals to a wide range of audiences.

  1. Curate, install & de-install exhibitions.

B. Educational Programming

  1. In coordination with program directors, conceptualize, develop, & implement

programs that promote educational resources.

  1. Monitor program activities in relation to established goals, recommend modifications using analyses.

C. Gallery Events

  1. Assist the Board in developing & implementing event & program goals.

  2. Develop and oversee events that promote the arts & community involvement.

  3. Coordinate activities with program directors & the Events Committee.

COMMUNICATIONS AND PR – The ED represents the Gallery to the General Public:

A. Marketing

  1. Promote Gallery programs, exhibitions & retail store operations.

  2. In coordination with individual program directors, oversee and assist in preparation &

distribution of brochures, announcements & all promotional materials.

B. Public Relations

  1. Cultivate & maintain working relationships w/ other galleries & museums.

  2. Participate in community affairs & represent the Gallery to all constituents.

C. Work collaboratively w/ the Board of Directors

  1. Develop & maintain a strong working relationship & effective communication.

  2. Assist Board Committees in planning, organizing, executing, & evaluating Gallery events.

FUNDRAISING - The ED develops & implements a fundraising program, takes a primary leadership role:

A. Grants

  1. Research grant opportunities in alignment w/Strategic Plan, mission & vision.

  2. Develop & write grant applications.

  3. Ensure funded programs meet grantor expectations.

  4. Maintain communication with grantors.

B. Donor Solicitation & Fundraising

  1. Assist the Board w/ short & long-term fundraising strategies.

  2. Assist in identifying individual donors, corporations & foundations to support operations, programs & endowment.

  3. Assist the Board in planning, organizing, executing & evaluating fundraising events.

Requirements

MINIMUM QUALIFICATIONS:

  • Bachelor’s Degree in Art, History, Science or a related field

  • and three years management experience required.

  • Experience managing a museum or gallery is preferred.
