David Kordansky Gallery seeks a highly motivated, extremely organized, proactive, and collaborative individual to serve as Executive and Sales Associate to the Owner. The Executive and Sales Associate to the Owner is a key member of the sales and management teams at David Kordansky Gallery, responsible for managing all of the business administrative needs of the Owner. Primary responsibilities include overseeing the Administrative Assistant, managing special projects, communicating on behalf of the Owner, acting as a filter for all internal staff communication and facilitating the distribution of sales PDFs to clients, and sending offers. The gallery is a fast-paced environment requiring the ESA to have a proactive and assertive demeanor and experience in managing, delegating, and collaborating. The ESA will regularly use discretion and independent judgement when performing the duties of this position. Flexibility to work outside of office hours is required.

PRIMARY RESPONSIBILITIES:

EXECUTIVE MANAGEMENT:

  • Oversee the Administrative Assistant to ensure a streamlined and efficient schedule and workflow for the Owner

  • Proactively prioritize, troubleshoot, and anticipate issues that could arise, and resolve them with the Department Heads and team members

  • Maintain an awareness of the workflow of every department, the daily schedules of the staff, and current projects, staying informed so that the Owner can be updated regularly

  • Oversee staff inquiries to the Owner for information, proposals, and decisions, acting as a filter for internal communication and exercise independent judgement related to such information

  • Exhibit a positive attitude, establishing and maintaining professional, productive, and courteous interactions that promote teamwork

  • Execute all correspondence with a high level of attention to detail and discreetly manage confidential information

  • Manage special projects as directed by the Owner

  • Recommend solutions to operational and administrative problems and resolve routine and complex inquiries

GENERAL RESPONSIBILITIES:

  • Manage the execution of daily tasks by the Administrative Assistant, overseeing scheduling, travel, and vetting communication

  • Answer phones and take messages as needed

  • When the Administrative Assistant is unavailable, run errands as needed (pick up lunch, coffee, weekly office groceries, etc.)

  • Attend gallery, sales, and exhibition meetings, plus other meetings as requested, and take notes

  • Maintain an informed understanding of the contemporary art world

  • Ensure that the Owner’s phone, computer, iPad, and other devices are updated and working, troubleshooting any IT issues as necessary

  • Oversee Owner’s personal acquisitions and installation alongside the Registrar Team

CLIENT RELATIONS:

  • Recognize individual names and faces of clients, collectors, and curators; and communicate with them in an articulate, professional manner

  • Develop and retain an in-depth knowledge of gallery artists’ practices and biographies, as well as the private and public collections that own their work

  • Manage scheduling of private viewings for clients, curators, etc. as requested by the Owner and coordinate installation with Registrar and Preparator teams as instructed

  • Assist the Sales Assistants and Sales Coordinators in coordinating client gifts

Requirements

SCHEDULING & TRAVEL:

  • Oversee the Administrative Assistant’s management of the Owner’s work calendar(s), ensuring all calendar and travel information is accurate and current

  • Exercise considerable discretion and judgment as to priorities and effective use of the Owner’s time

  • With the Administrative Assistant, communicate with clients, curators, artists, etc. to set up meetings, dinners, events, studio visits, etc.

  • Work with the Administrative Assistant and Sales Coordinator NY on managing the benefit and gala annual schedule and DKG participation

  • With the Administrative Assistant, schedule quarterly meetings with Owner, Owner’s spouse, and PA to review the calendar and confirm upcoming travel plans

SALES ASSISTANCE & OFFERS:

  • Assemble and update Sales and Info PDFs for the Owner as requested and instructed; ensuring all requests are completed in a timely manner

  • Communicate with clients on behalf of Owner about upcoming exhibitions, fairs and offers

  • Provide post-sale support including working with the Finance Department on invoicing

  • Oversee the Administrative Assistant on all sales record updates, ensuring accuracy

  • Stay current on all sale, hold, and pricing information updates

AUCTIONS:

  • Coordinate Owner’s personal auction acquisitions and gallery acquisitions with Administrative Assistant, Associate Director, Sales and Sales Coordinators

QUALIFICATIONS:

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

  • Knowledge of contemporary art and art institutions required

  • At least five (5) years of professional experience in a contemporary art gallery, auction house, or related institution required

  • Experience providing executive-level support to C-suite level executives, gallery owners, museum directors, or institution heads is preferred

  • BA in Art History, Business, Finance, or related field preferred

  • Highly detail-oriented and precise, with superior writing and editing abilities and a strong ability to proofread

  • High level of emotional intelligence, including sensitivity, discretion, and sound judgment, with a composed, proactive, and assertive demeanor

  • Skills in a Mac-based environment required, including Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)

  • Skills in the Adobe Creative Suite (Acrobat, InDesign) welcomed

  • Basic knowledge of databases such as Artlogic preferred

  • Basic knowledge of sales platforms such as Arternal preferred

  • Fluency in multiple languages welcomed

  • Access to reliable transportation for in-town errands

COMPENSATION & BENEFITS:

  • This is a full-time, salaried position.

  • The pay scale for this position is $100,000 – $120,000
