PRIMARY RESPONSIBILITIES:
EXECUTIVE MANAGEMENT:
Oversee the Administrative Assistant to ensure a streamlined and efficient schedule and workflow for the Owner
Proactively prioritize, troubleshoot, and anticipate issues that could arise, and resolve them with the Department Heads and team members
Maintain an awareness of the workflow of every department, the daily schedules of the staff, and current projects, staying informed so that the Owner can be updated regularly
Oversee staff inquiries to the Owner for information, proposals, and decisions, acting as a filter for internal communication and exercise independent judgement related to such information
Exhibit a positive attitude, establishing and maintaining professional, productive, and courteous interactions that promote teamwork
Execute all correspondence with a high level of attention to detail and discreetly manage confidential information
Manage special projects as directed by the Owner
Recommend solutions to operational and administrative problems and resolve routine and complex inquiries
GENERAL RESPONSIBILITIES:
Manage the execution of daily tasks by the Administrative Assistant, overseeing scheduling, travel, and vetting communication
Answer phones and take messages as needed
When the Administrative Assistant is unavailable, run errands as needed (pick up lunch, coffee, weekly office groceries, etc.)
Attend gallery, sales, and exhibition meetings, plus other meetings as requested, and take notes
Maintain an informed understanding of the contemporary art world
Ensure that the Owner’s phone, computer, iPad, and other devices are updated and working, troubleshooting any IT issues as necessary
Oversee Owner’s personal acquisitions and installation alongside the Registrar Team
CLIENT RELATIONS:
Recognize individual names and faces of clients, collectors, and curators; and communicate with them in an articulate, professional manner
Develop and retain an in-depth knowledge of gallery artists’ practices and biographies, as well as the private and public collections that own their work
Manage scheduling of private viewings for clients, curators, etc. as requested by the Owner and coordinate installation with Registrar and Preparator teams as instructed
Assist the Sales Assistants and Sales Coordinators in coordinating client gifts
