The Chief Registrar serves as the department head responsible for the strategic management, oversight, protection, and movement of all gallery artwork inventory worldwide. This leadership role oversees the Registration Department team, manages global shipping and storage logistics, drives financial and risk management strategies, and establishes operational protocols across all gallery locations, exhibitions, and art fairs.

Responsibilities

Key Duties and Responsibilities:

Departmental Leadership & Team Management:

  • Lead, mentor, and manage Registration Department staff, fostering a high-performance, collaborative team environment.

  • Ensure that the gallery’s establish standard operating procedures (SOPs) for inventory tracking, condition reporting, artwork handling, and database management are up to date and in practice.

  • Oversee workflow distribution and project priorities across the registration team to ensure seamless support for gallery exhibitions, art fairs, and sales transactions.

  • Conduct annual performance evaluations, handle professional development, and drive talent retention within the department.

Logistics & Supply Chain Governance:

  • Direct global logistics strategies for complex incoming and outgoing artwork movements between gallery sites, artist studios, clients, museums, art fairs, and external vendors.

  • Serve as the senior escalation point for high-stakes, time-sensitive, or complex international shipping and logistical challenges.

  • Negotiate master service agreements, terms, and preferred pricing with domestic and international freight forwarders, fine art handlers, crating companies, and conservators.

Risk Management & Compliance:

  • Direct compliance for international trade regulations, customs clearances, Temporary Admission (TA) bonds, CITES permits, and foreign/domestic tax/tariff structures.

  • Oversee annual and ongoing inventory audits across all physical locations (gallery spaces, primary vaults, off-site storage, and consignment sites).

  • Work with Director of Operations on fine art insurance policies, transit coverage, site risk assessments, and claims.

Financial & Operational Oversight:

  • Formulate and manage the annual Registration Department budget; conduct regular cost analysis and financial reviews with executive leadership.

  • Authorize departmental expenditures, review high-value invoice approvals, and optimize gallery operational costs.

  • Partner with Gallery Sales Directors, Director of Operations and the Chief Preparator to align logistics with exhibition schedules, fair production, and artist requirements.

Requirements

Desired Skills and Experience:

  • BA or MA in Art History, Museum Studies, Arts Administration, or a related field preferred.

  • Minimum 7–10 years of fine art registration experience in a commercial gallery or major arts institution, with at least 2–3 years in a direct supervisory/department head role at a commercial gallery.

  • Deep knowledge of global art logistics, international customs procedures, tax/tariff compliance, fine art insurance, and preservation standards.

  • Expert proficiency with fine art management software (ArtBase, Artlogic, or similar) and advanced database reporting.

  • Working knowledge of Mac, Google Workspace, Microsoft Office Suite, and Adobe Acrobat

  • Demonstrated leadership, personnel management, budget development, and vendor negotiation skills.

  • Calm under pressure with superior problem-solving, crisis management, and decision-making capabilities.

Compensation & Benefits:

  • This is full-time, exempt position, Monday – Friday, with flexibility needed one some evenings and weekends for art fairs and specials events. Salary range of $100,000 - $120,000 per year, depending on experience, including a comprehensive benefits package.

While performing the duties of this job, the employee is frequently required to do the following:

  • Sedentary work that requires primarily sitting and standing.

Work Environment:

  • Typically, indoors in an office type environment

  • Some offsite travel and/or errands

  • After hours and weekend work required as needed for exhibitions, art fairs, and related events
