Archives/Registration Assistant

Artist Studio

An established artist studio is seeking an extremely detail oriented and highly organized Archives/Registration Assistant. This position will work under the direct supervision of the Studio Director to help maintain the studio’s artwork records and archives in support of the artist’s daily practice, exhibitions, publications and archival projects.

5 days per week / Monday – Friday, 9am to 6pm

Located in Elysian Valley, Los Angeles

Responsibilities

Responsibilities include but are not limited to:

  • Help maintain and monitor digital and physical files within established storage systems and file structures

  • Help maintain and update studio database records and server files

  • Assist with assessment and rehousing of artist’s ephemera and records

  • Assist with digitization and studio photography workflows

  • Track artist’s biographical, exhibition, and publication records

  • Respond to provenance requests for exhibitions and for works offered at auction

  • Help maintain studio library, library catalog and new book acquisitions

  • Provide internal reference assistance related to the studio database, images, archives, and library materials

  • Provide exhibition catalog and studio publication project support

  • Assist with research for and acquisitions of furniture and artwork for artist’s personal collection

  • Assist with artwork tracking including monitoring movements within studio buildings as well as generating external releases, consignments, and loans

  • Assist with artwork shipments and framing

  • Help execute regular inventory checks at studio and storage locations

  • Help maintain and track studio inventory numbers

  • Maintain supplies for physical archives and records storage

Requirements

Requirements:

  • Outstanding organizational skills with a special attention to detail and accuracy

  • Excellent written and oral communication skills

  • Demonstrated flexibility and professional, proactive attitude

  • Ability to work independently, as well as part of a team

  • Previous experience in an art studio/gallery, arts logistics, or library setting

  • Demonstrated knowledge of ArtBase or a similar art collection management software/database

  • Demonstrated knowledge of Adobe Creative Suite, Google Workspace

  • Experience with digital cameras, scanning applications, and audio/visual digitization practices

  • Ability to adhere to studio protocols and systems

  • Familiarity with art handling and preservation best practices

  • Degree or coursework in Library/Information Science, Art History, or related field preferred

  • General knowledge of modern and contemporary art and design

  • Ability to work in a variety of environments including offices, warehouses, and residences

  • Ability to lift up to 35lbs
