Responsibilities:
Administrative Oversight for Sales Operations:
Support sales leadership by maintaining accurate client databases, product catalogs, and sales reports.
Process orders from initial inquiries to order fulfillment, coordinating with internal teams to ensure smooth operations.
Handle email correspondence with clients, including order confirmations, updates, and logistics details.
Prepare and process estimates and invoices accurately across multiple platforms, ensuring timely data input.
Keep product information, terms, and conditions up to date for use in client-facing materials.
Client Relationship Support:
Serve as the primary contact for client inquiries, communication, and customer service.
Provide helpful and timely customer service by answering questions, resolving issues, and assisting clients through the sales process.
Assist with overseeing client accounts, ensuring clear communication and regular updates.
Schedule and organize client meetings and studio tours, preparing materials to highlight products and services.
Ecommerce Administration:
Ensure webstore listings, images, and descriptions are accurate and up to date.
Perform regular audits of website performance, providing actionable recommendations to improve conversion rates and engagement.
Input and manage data on platforms like WordPress, QuickBooks, Airtable, and Dropbox
Maintain accurate stockist lists, product tearsheets, and press materials for easy access and reference.
Marketing Coordination and Support:
Help draft a marketing schedule in collaboration with team members, ensuring timely campaigns.
Design marketing assets using tools like Figma and Adobe Creative Suite for emails, social media, and digital platforms.
Keep the marketing calendar updated with deadlines and campaign details.
Create visually appealing marketing materials, including graphics, advertisements, and newsletters, following company branding.
Maintain and update in-situ and press pages, ensuring materials meet company standards.
Track and report on marketing performance metrics, providing insights for improvement.
General Administrative Support:
Work closely with senior management to align administrative functions with company objectives and sales strategies.
Provide support for internal projects and initiatives as needed.
Identify areas for improving processes and share suggestions for greater efficiency.
Maintain and organize digital and physical files to ensure easy access to important information.
Track and restock office and studio supplies as needed to support daily operations.
Prepare documents, reports, or presentations as requested by Manager.
Coordinate scheduling and calendars for meetings, appointments, and project deadlines.
Respond to general inquiries and redirect them to appropriate team members when necessary.
